We sell a lot of these. The buyers who are happiest two years in are the ones who understood the why before they signed. So here is the why.

Microsoft does not back up your M365 data

Read the M365 service-level agreement and shared-responsibility documentation. Microsoft commits to uptime + protection of the platform. Backup of customer data — to defend against deletion, corruption, ransomware, malicious admin action, or compliance-mandated retention beyond 30 days — is your responsibility. The fact that the recycle bin exists is convenience, not backup.

The four scenarios that prove this matters

1) An employee deletes a critical SharePoint folder by accident; nobody notices for 60 days. Recycle bin is empty. 2) A compromised admin account empties Exchange across the tenant. 3) Ransomware encrypts every OneDrive file via a sync client. 4) A regulator demands 7-year mail retention; M365 retention is configured at 1 year. In all four cases, an independent backup is the only path to recovery.

Why daily, not real-time

M365 has its own real-time replication for resilience. Independent SaaS backup is for the worst case — when your tenant is compromised or corrupted at the source. Daily snapshots are sufficient for that worst case (you can almost always tolerate 24-hour data-loss for malicious deletion or ransomware), and the storage cost stays reasonable. Restore patterns we see

Most restore requests are mundane and individual: "I deleted an email last week and need it back." A meaningful minority are deliberate-attack recovery: "Our admin account was compromised and the attacker bulk-deleted mail." Shared mailboxes are billed at the same per-user rate. Resource mailboxes (room, equipment) are typically free of charge.

Where is the data stored?
US-region encrypted object storage, tenant-isolated, separate keys.
Can we restore to a different tenant?
